Notice of 2017 AGM (27/5/2017)
Date of 2017 HKSW AGM confirmed to be on 27th May, 2017 at Senior Officer Mess Wanchai.

Mark the AGM in your diaries: the usual curry buffet lunch and the annual auction; bring your wargame related items for sale.

36th AGM Saturday May 27th:
12:30 onwards at 6th floor, Senior Police Officers' Mess, Wanchai

Programme (with approximate times) is as follows: Curry lunch (1:00 pm) AGM (1:30 pm) Taking Group Photos and Trophy Presentation (1:50 pm) Game Set-up and Annual auction (2:00 pm) Competitions will run thereafter.

Rough Agenda for AGM:
1. Report by individual Committee members
2. Approval of books and accounts,
3. Amendment to the Constitution
4. Review of annual subscription level and door fee
5. The future of Competitions, open to people out side of the society (not just to our members)
6. Election of new committee
7. Any other business

Note: Members are advised to clear and move the tables after the Buffet Lunch themselves should they need the table for games.

Curry Lunch Booking
Please let us know whether you are coming or not on or before 13/5/2017. The Buffet will be served to those who reserve a place first and those who have not booked in advance will have to wait to see if there are available place for them.

Auctions News
There will be some donated games and terrains to be auctioned off at the AGM to raise funds for the Society.

(2) Donated Out of Print War Drum Games Board Wargames (unpunched) from our Members Co-ordinator (Chinese rulebook only, no English translation of rulebooks available)
(a) Prince Lamling in Battle Contend for Hedgemony (Retail Price: USD29) (Taobao price: RMB180)
(b) Iron Fists of our Fathers: Korean War (Retail price: USD59)
The retail prices quoted are just additional information of the market value of these games when they were available for sale. They are not the starting bid price or reserve price of these items.

(3) Donated Board Wargames from Aris Aravantinos
(a) DIPLOMACY Deluxe (Avalon Hill)
All wooden blocks accounted for. Hardboard map in fine condition. Photocopy of 3rd edition rules. Original photocopies of European map for players plus variant from the General Magazine.

Basic rules of the auctions
You can also bring items to be auctioned at the AGM. From past experience, the final selling price of stuff sold at HKSW auction is lower than that selling at eBay.

Firstly, you have to list your reserve price (minimum price)
Secondly, it is natural to sell things related to history, wargames, boardgames, fantasy, etc. as we are a Society of wargamers.
Thirdly, if you want to attract members interest, you can send me a list of your stuff with the reserve price so that I can send them to the members before AGM.
Fourthly, you can sell the stuff at listed price without going through the auction procedures on that day on a first come first serve or discretionary basis or you can have them sell at the auction. It's up to you.
Finally, you are responsible to dispose of all your unsold items. The Society will return them to you on that day if they are unsold.
I suggest you have some ten dollars and twenty dollar notes readily available as changes.

Competitions
There will be at least one competition at the AGM:
1. Advanced Squad Leader (Organiser: Anthony Leung)

Trophies for the Competitions
The objective of the competitions is not to determine who is the best player, but for our members to get together to play friendly games with each other for fun without too many stress. As an encouragement to their participations, trophy will be given to the Winner of the competition (if there are 6 or more participants). Additional trophies to Runner-Ups may be awarded if there is a sponsor for the competition.

Members can participate in more than one competition in this year, though only one trophy wil be awarded in case he wins more than one competitions. Of course, we shall indicate his achievements by choosing the right wordings to be inscribed on his trophy where applicable.

2nd Runner-up: Alex Sum. Trophy of 2nd Runner-up sponsored by Tiger Room.

(2) Command & Colors Ancients Competition

The Hong Kong Society of Wargamers
2017 Member Co-ordinator Report
We have 84 paid-up members this year. (85 in last year).
12 new members (8 in last year) and 5 members rejoining. (4 in last year).
We held 13 Saturday meetings and 1 Sunday meeting at KITEC this year. (same as last year). We also held 3 non-AGM meetings at SOM (5 in last year). In addition, we held 7 meetings at Sai Wan Ho this year (none in last year).
There were 1 Miniatures Wargames Competition (1 in last year) and 5 Board Wargames Competitions (also 5 in last year)
17 Trophies for this year (10 in last year), 14 of them fully sponsored by some of our members (5 in last year).

Analysis of the 17 new members and rejoining members
8 of them for joining friends who are organizing events
4 of them to join competition (2 for X Wing, 2 for Here I Stand)
3 of them had just come to Hong Kong,
1 for Group Purchase service
1 for unable to come to AGM last year.
The key to success is to have organizers organizing games.

Agenda for Annual General Meeting 2017

Date and Time: 27-5-2017, 14:00
Place of Meeting: Senior Officer’s Mess, Police Headquarters Hong Kong.


Part A – to be approved by the members as a matter of urgency

Report by individual Members of the Committee.

Approval of books and accounts presented by the Treasurer (see Appendix A for the details of accounts attached).

Approval of proposed amendments to the Constitution (see Appendix B for a copy of the proposed and amended Constitution attached herewith). Main issue of the proposed amendments are highlight below:

Article 2 – contact address of the Society amended to the current address of the Chairman.
Article 7 – Unofficial members increased to 6 from 4 to cater for the increased membership.
Article 8 – AGM changed from “April” to “April or May“ to sync with our current situation.
Article 10(e) – amended to avoid amendment to the Constitution every time we need to change the membership fees.
Other amendmets are for formatting and correction of typos and of no significant effect.

Review and approval of annual subscription and door fee for monthly meeting for the coming year.

The proposed annual subscription shall be HK$220.00 and the door fee for monthly meetings shall be HK$80.00 per meeting.

Election of new committee.



Part B – to be approved by the members if time permits otherwise to be dealt with by an EGM or consensus via email

The future of Competitions.

Members’ views are sought whether competitions of the Society are to be held as “closed” (i.e. only for members) or some are allowed to be held as “open” (i.e. allow participation from non members).

Any other business.

Members views are sought for the following items, due to we have recorded two consecutive years’ of deficit:

Encouraging competitions which increase attendance at meetings and raise a profit by themselves.
Encouraging more attendance at monthly meetings by using a voucher system with door fees for meetings included in the Annual Subscription, thus the Annual Subscription would then be higher.
Renting a clubhouse for use the whole month round rather than just venues for twice a month. This would entail higher fees.
Trying to determine if there is an identifiable pattern for low utilisation meetings at KITEC which would reliably enable us to book only one room there instead of two for those months.
Continuing the search for affordable alternative venues.
